Credential Check Corporation is seeking a skilled Executive Assistant to keep pace in our entrepreneurial and fast-paced organization. This position will work independently to create and maintain calendar appointments and mail; generate all correspondence; arrange travel; plan and manage large events and other projects; compile accurate research data; and assist the President on an as-needed basis. Responsibilities:

  • Provide administrative support and assist the President in all phases of business to enhance his time and productivity by outlining, summarizing, and organizing information including, but not limited to, managing the President’s mail (paper and electronic); accurately maintaining an organized calendar system; updating contact information; and responding to phone inquiries.
  • Coordinate and organize files, records and schedules, including all required document management.
  • Manage all details for functions such as seminars, meetings, conferences etc. including all travel arrangements; correspondence with host organizations, presenters, and attendees; prepare and/or coordinate presentations and handouts.
  • Keep President advised of all matters needing his attention and provide back-up documents and information as required
  • Create or draft correspondence, organizational charts, presentations and other documents as requested with 99% accuracy.
  • Provide accurate recordkeeping through the extensive use of an Outlook calendar and mail coding and category system.
  • Complete all assignments within the established time frames, follow ups and reminders (set or not) thoroughly with minimal instruction.
  • Function as Strategic Business Plan Administrator including making all site arrangements, taking and distributing notes, scheduling follow-up meetings and keeping the SBP Action Plans up-to-date.
  • Process invoices and reconcile credit card statements.

Qualifications:

  • 3 or more years of senior level administrative support and project management
  • Word processing speed equivalent to 60+ words per minute
  • Adaptability to continuous change
  • Ability to prioritize and/or complete multiple task simultaneously in a very fast-paced environment
  • Excellent written and verbal communication skills
  • Demonstrated organizational skills
  • Flexibility to change and coordinate personal schedule to coincide with the President’s schedule
